Get current information regarding products and pricing in the hands of the sales force. The information is updated on a nearly daily basis and the company needed a solution that would ensure the sales people in the field had the latest information. Users in the field needed a solution that took revision control out of their hands and did not let them make changes to a majority of the documents. Access needed to be 24/7, secure and over the Internet. Field reps needed to know when new updates were available and the company did not want the hassle of setting up and maintaining a virtual private network.

Having contacted Statement Solutions for help in developing a system to solve their distribution challenge. It quickly became evident that Statement Solutions' YourAttaché™ service would solve the client's issues. YourAttaché is a highly customizable storage and distribution system for controlling the flow of documents and data within an organization. Key parts of the planning and implementation was the limiting of access in two areas. Who could see documents and who could modify them. Reps in the field needed to see documents based on their region, however only managers at corporate could modify and upload documents. The PDF format was chosen for its portability, universal readability and its ability in creating non editable documents.

YourAttaché brought noticeable results to the company almost immediately. With its ease of use and sophisticated management system, Administrators were able to keep the field reps product and pricing information up to date without the confusion of multiple versions of the same document. Errors due to incorrect data have been reduced by over 90% and productivity has risen on the order of 20%. The sales team is getting updated information more quickly. Overall, the company has seen an increase in revenue combined with a decrease in expired food.

The system functions as follows: first, a manager uploads a new file, gives it a description, expiration date and assigns the file to a group. The document is then posted to a secure server where it is accessible to authorized users for viewing over the Internet. Upon posting, an email can be sent to each authorized user alerting them to the availability of a new update. Users login over the Internet to YourAttache and gain access to the newly posted document. After their access rights are verified the user can view the document.
